Does IRCC Require a Formal Invitation Letter?

Technically, an invitation letter is not always mandatory for a Canadian visitor visa (Temporary Resident Visa, or TRV). IRCC does not list it as a required document in every case. However, in practice, it is one of the most powerful supporting documents you can include — and in many applications, its absence is a red flag.

If a person is visiting Canada to see family or friends, IRCC expects to see proof of that relationship and confirmation from the host. An invitation letter provides exactly that. Without it, the visa officer has less reason to believe the stated purpose of the visit is genuine.

For applicants from countries with historically lower visa approval rates — including India, Nigeria, the Philippines, Pakistan, and others — a strong invitation letter is not optional in practical terms. It is essential.

8 Things IRCC Needs to See in the Invitation Letter

A properly written invitation letter must include all of the following:

1. Full legal name, date of birth, and address of the person in Canada (the host) The host is the person writing the letter and inviting the visitor to Canada.

2. The host's immigration status in Canada IRCC needs to know whether the host is a Canadian citizen, permanent resident, or temporary resident. Include your status clearly and provide a copy of your ID or status document with the letter.

3. Full legal name and date of birth of the visitor being invited The name must match exactly as it appears on the visitor's passport.

4. The relationship between the host and the visitor Be specific. "My mother," "my friend from university," "my spouse's sister" — vague relationships raise questions.

5. The purpose and planned activities of the visit State clearly why the visitor is coming — a family reunion, a wedding, a vacation, a medical visit — and what activities are planned.

6. The intended duration of the visit and travel dates Provide specific dates where possible, or a clear date range.

7. Details of where the visitor will stay Confirm the specific address where the visitor will be staying, whether that is your home, a hotel, or another arrangement.

8. A statement of financial responsibility (if applicable) If you are covering any portion of the visitor's expenses, state this clearly. If the visitor is self-sufficient, the letter should note that and the visitor's own financial documentation will be submitted alongside.

Common Mistakes That Lead to Visitor Visa Refusals

Even when an invitation letter is included, these errors can cause problems:

Vague or generic language "I invite my friend to visit Canada" is not useful. The letter must be specific about who, why, when, and how.

Inconsistencies between the letter and other submitted documents If the letter says the visitor will stay for two weeks but the flight booking shows one month, that inconsistency raises questions.

The host's information is missing or incomplete IRCC needs to verify the host's status and address. A letter without the host's contact information, immigration status, or address is incomplete.

No relationship evidence The invitation letter is more persuasive when accompanied by photographs, messaging history, or other evidence of the relationship — especially for claims of family relationship.

Poor grammar or formatting While IRCC does not grade writing style, a letter that is difficult to read or appears unprofessional can reduce the officer's confidence in the application.

Does an Invitation Letter Need to Be Notarized?

Not always — but it significantly strengthens the application when it is.

IRCC does not explicitly require invitation letters to be notarized. However, notarizing the letter adds a layer of credibility by confirming:

  • The identity of the person who signed it

  • That the signature is authentic

  • That the document has not been altered

Some consulates and visa centres for specific countries explicitly request notarized invitation letters. Check the specific requirements for the visitor's country of origin before preparing the letter.

Document Genie can notarize invitation letters at both our Edmonton and Surrey locations. Walk-in service is available.

How Document Genie Drafts and Certifies Invitation Letters

Writing an effective invitation letter is harder than it looks. Many people underestimate the level of detail IRCC expects, and letters that seem complete actually contain gaps that raise more questions than they answer.

Document Genie offers a professional invitation letter drafting service. Here is how it works:

  1. You provide us with the key details: your information, the visitor's information, dates, purpose of visit, and any financial responsibility details

  2. Our team drafts a complete, professional letter that meets IRCC standards

  3. You review and approve the letter

  4. We notarize it if required

  5. Your letter is ready — typically within 24 hours

The letter is formatted professionally, written in clear and complete language, and includes all eight elements IRCC looks for.

Supporting Documents to Include With the Invitation Letter Package

The invitation letter should not be submitted alone. Include:

  • A copy of the host's Canadian status document (passport, PR card, COPR)

  • A copy of the host's government-issued photo ID

  • Proof of the host's address (utility bill, lease, bank statement)

  • Evidence of the relationship (photographs, messages, previous visit records)

  • If financially sponsoring the visitor: bank statements or a letter of financial support

Frequently Asked Questions

Can I write the invitation letter myself? Yes. There is no requirement that it be professionally drafted. However, the letter must be complete, specific, and accurate. If you are not confident in your written English or in covering all the required elements, having it drafted professionally reduces the risk of errors.

What if the visitor is from a country with a higher refusal rate? A strong invitation letter becomes even more important. Ensure that every element is present, that the letter is notarized, and that it is supported by strong accompanying documents.

Does the invitation letter guarantee a visa approval? No. IRCC makes its decision based on the complete application. The invitation letter is a supporting document, not a guarantee.

What if the visit is for a wedding or special event? Include event-specific details: the date of the event, the location, and the visitor's role (guest, family member, wedding party). A copy of the wedding invitation can be included as additional evidence.
