1. Certified Translations
Any document not issued in English or French must be accompanied by a certified translation. This includes:

2. Affidavit of Identity or Name Consistency
If your name appears differently across your documents, for example, your passport spells your last name one way and your degree spells it another, IRCC will flag this as a discrepancy. This is one of the most common and most overlooked causes of application problems.
The fix is an Affidavit of Identity (also called a Name Consistency Affidavit or Name Discrepancy Affidavit). This is a sworn legal document prepared and witnessed by a notary public, in which you declare that all named variations refer to the same person.
It must be:
Drafted correctly with all name variations listed
Sworn and signed in person before a notary
Signed at the time of witnessing, never in advance

3. Police Clearance Certificates (PCCs), Original and Notarized Copies
IRCC requires police clearance certificates for every country you have lived in for six months or more since the age of 18. This commonly includes:
Canada (RCMP clearance certificate)
Your country of birth
Any country you lived in before coming to Canada
Important rules for PCCs:
Canadian RCMP clearance must be obtained through the official RCMP channel or an accredited fingerprinting agency
Foreign PCCs must often be accompanied by certified translations if not in English or French
Notarized copies may be required when the original must be retained by you while copies are submitted
Some countries require significant lead time (India's PCC, for example, can take 4–8 weeks)

5. IRCC Form Certified Copies
Some IRCC forms and identity documents require notarized or certified copies to be submitted alongside originals. This includes:
Passport copies (biographic page)
Study or work permit copies

The 5 Most Common Document Mistakes That Cause Rejections
1. Submitting machine translations IRCC officers are trained to identify AI-generated or machine-translated documents. These are not accepted and can result in outright refusal.
2. Name inconsistency with no explanation If your passport says "Singh" and your degree says "Sing," you need an affidavit. Ignoring this is one of the most common errors.
3. Outdated or expired police clearance certificates PCCs are typically only valid for six months to one year. If yours is expired by submission time, you will need a new one.
4. Uncertified copies of foreign documents Photocopies without a notary seal are not accepted in place of certified true copies.
5. Missing translations for foreign-language documents Any document issued in a language other than English or French requires a certified translation, no exceptions.
